Business Terms
Interstate Medicine, interstatemedicine.com · Last updated: October 30, 2026
These Business Terms govern an organization’s use of the Interstate Medicine Roster on the Team or Agency plan. “You” means the organization (for example, a practice, group, telehealth company or staffing agency). The person who accepts these Terms confirms they can bind the organization. Our Terms & Conditions also apply to each person who uses the Services. Where the two conflict for your organization, these Business Terms control.
1. The Interstate Medicine Roster
The Roster lets your team see and manage the clinicians who link their Interstate Medicine Ledger to your organization, at the access level each clinician chooses. Roles are Owner, Manager and Delegate. Admin access is free; you pay for clinicians.
2. Price, billing and renewal
- $10 per clinician a month, billed monthly in advance through Stripe, for each clinician your organization covers. Prices do not include sales tax; we add it where the law requires.
- New organizations get the first 30 days free with a card on file, and nothing is charged while the roster is empty.
- Your subscription renews automatically each month until you cancel. Cancel online any time in your organization’s settings or by emailing help@interstatemedicine.com. Cancellation takes effect at the end of the month you have paid for.
- We give at least 30 days’ notice by email of any price change.
- Fees are not refundable once a month begins, except as required by law.
- When you stop covering a clinician, the clinician keeps their Ledger free for 30 days and can then keep it on their own plan.
3. Your responsibilities
- Clinician choice. Each clinician decides whether to link to you and at what level, and can lower or revoke it any time. You will not pressure a clinician to grant more access than your work needs.
- Lawful basis. You are responsible for having the right to collect and use the documents and information your team adds, including any notices or consents the law requires from clinicians.
- Attestations are the clinician’s. No one on your team may sign or attest for a clinician.
- Your decisions are yours. The Roster shows document status and expiration dates. It is not a hiring, placement or credentialing decision tool and does not recommend whether to engage anyone. Your organization makes and is responsible for its own decisions, including any verification the law or your clients require.
- Your team’s accounts. Keep sign-ins private, require two-factor sign-in where you can, and remove people who leave.
- No patient information. Do not upload patient records.
4. Data processing addendum
This section applies when we process clinicians’ personal information on your behalf through the Roster.
- Roles. For information your organization adds or reaches through the Roster, we act as your service provider and processor. Each clinician’s own Ledger remains the clinician’s, under our Privacy Policy.
- Instructions. We process that information only to provide the Services, as you instruct through the Services, and as the law requires. We do not sell it, use it for advertising, or combine it with other data for our own purposes.
- Confidentiality. Everyone at Interstate Medicine who can reach it is bound to keep it confidential.
- Subprocessors. Supabase (database, storage, sign-in), Netlify (hosting), Cloudflare (DNS), Stripe (payments), Resend (email), Google Workspace (company email) and Anthropic (AI reader). We give you 30 days’ notice by email before adding or replacing one, and you may object or cancel.
- Security. We maintain the safeguards described on our Security page, including encryption in transit and at rest, database row-level security and an activity log.
- Incidents. We tell you without undue delay, and within 72 hours of confirming it, if a security incident affects information we process for you, and we help you meet any notice duties.
- Requests and assessments. We help you answer clinicians’ requests to see, correct or delete information, and give you information you reasonably need for a data protection assessment.
- Deletion. When your subscription ends, you can export your organization’s records. Within 30 days of your written request, we delete information your organization added, except what the law requires us to keep. Clinicians’ own records stay theirs.
- Audit. Once a year, on 30 days’ notice, we answer a reasonable security questionnaire.
5. Confidentiality
Each of us keeps the other’s non-public business information confidential and uses it only for this relationship.
6. Warranties and liability
The Services are provided as described on our site and in these Terms. Except as stated here, they are provided “as is.” Neither party is liable for indirect, incidental, special or consequential damages or lost profits. Each party’s total liability is limited to the fees you paid in the 12 months before the claim. These limits do not apply to breach of confidentiality, your payment obligations, or either party’s gross negligence or willful misconduct.
7. Term, law and changes
These Terms last while you have a Roster subscription. Either party may end them for material breach not cured within 30 days of notice. Texas law governs, and the state and federal courts in Harris County, Texas decide any dispute. We may update these Terms with 30 days’ notice by email; a signed order form or written agreement with your organization controls over these Terms.
