This Privacy Policy explains how Interstate Medicine LLC (“Interstate Medicine,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use interstatemedicine.com and our related services (the “Services”). By using the Services, you agree to this Policy. This Policy is part of, and incorporated into, our Terms & Conditions.
1. Information We Collect
We collect the following categories of information:

2. How We Use Information
We use information to: provide and operate the Services (planner, monitoring and alerts, gap analysis, certificate vault, and audit packets); process purchases and manage subscriptions; personalize your requirements and reminders; send transactional messages, renewal and requirement-change alerts, and, where permitted, marketing you can opt out of; provide support; maintain security and prevent fraud; comply with law; and improve the Services.
3. Sensitive Data and Your Consent
Some information we collect — such as your date of birth and license numbers — is treated as sensitive. Under the Texas Data Privacy and Security Act and similar laws, we process such information only with your consent or as otherwise permitted by law, use it only for the purposes described here (such as matching and reporting your CME), and protect it accordingly. You may withdraw consent by contacting us, though doing so may limit certain features.
4. How We Share Information
We share information only as described here:
- Service providers. Vendors that perform services for us — such as hosting, payment processing (Stripe), email/SMS delivery, and analytics — under contracts limiting their use to providing services to us.
- Your organization, at the access level you choose. If you link your account to an employer, staffing agency, or other organization through our delegated-access feature, that organization's administrators can see your compliance information only at the specific access level you have granted (for example, compliance status only, or full profile). You choose the level, you can lower or revoke it at any time, and actions taken on your behalf are recorded in an activity log visible to you. We never share your data with an organization you have not linked and authorized.
- Accredited provider. Where you earn CME credit, with the accredited provider of record as needed to issue, verify, or report your credit.
- Legal and safety. When required by law or to protect the rights, safety, or property of you, us, or others.
- Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising or targeted advertising.
5. Not Protected Health Information
The Services relate to your professional licensure and continuing education, not to patient care. We do not collect patient records, and the information we collect is not “protected health information” subject to HIPAA. We nonetheless treat license numbers, dates of birth, and certificates as sensitive and protect them accordingly.
6. How We Protect Information
We maintain administrative, technical, and physical safeguards designed to protect your information, including encryption of sensitive data in transit and at rest, access controls, and limited retention. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We will notify you and applicable authorities of a data breach as required by law.
7. Data Retention
We retain your information for as long as your account is active and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or de-identify it. You may request deletion as described below, subject to legal retention requirements (for example, tax and transaction records).
8. Your Privacy Rights
8.1 General
You may access, correct, update, or delete your account information through your account settings or by contacting us at hello@interstatemedicine.com. You may opt out of marketing at any time using the unsubscribe link or by replying STOP to texts.
8.2 Texas residents
Under the Texas Data Privacy and Security Act, Texas residents may confirm, access, correct, delete, or obtain a portable copy of their personal data, and may opt out of targeted advertising, sale of personal data, or certain profiling. We honor these rights and do not sell personal data or use it for targeted advertising.
8.3 California and other states
Residents of California and other states with comprehensive privacy laws have similar rights (access, deletion, correction, portability, and the right to opt out of sale/sharing). We extend comparable rights to all users and do not discriminate against you for exercising them.
8.4 How to exercise and appeal
Submit requests to hello@interstatemedicine.com. We will verify your identity and respond within the time required by law. If we decline a request, you may appeal by replying to our response; if your appeal is denied, you may contact the Texas Attorney General or your state authority.
9. Cookies, Analytics, and Do Not Track
We use limited cookies and similar technologies necessary to operate the Services and to understand aggregate usage (including Google Analytics on our public pages). We minimize third-party tracking and do not place advertising trackers on member pages. You can control cookies through your browser settings; disabling some cookies may affect functionality. Because there is no common standard, we do not currently respond to browser “Do Not Track” signals, but we honor recognized opt-out preference signals where required by law.
10. Children
The Services are intended for professionals and are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will delete it.
11. International Users
The Services are operated from the United States and intended for U.S. users. If you access the Services from outside the United States, you consent to processing your information in the United States.
12. Changes; Contact
We may update this Policy from time to time. Material changes will be posted with a new “Last updated” date and, where required, notified to you.
